Asana Tutorial for Coaches (2026): Client Management + Program Launches
Coaching businesses look simple from the outside but they're surprisingly complex to manage behind the scenes. You're tracking one-on-one client relationships, delivering group programs, planning launches, and running your own business admin - often all at the same time.

Workspace Structure for Coaches
Start with three teams: Clients (one project per coaching client), Offers and Programs (launch and delivery projects for each offer), and My Business (your own admin and marketing). Keeping these separate means your client work, your program work, and your business operations don't bleed into each other.
Client Management for Coaching Relationships
Inside your Clients team, each one-on-one client gets their own project in List view with five sections: Client Info, Onboarding, Sessions, Ongoing, and Offboarding.
The Sessions section is the one most coaches are missing. Each session is a task named by date. Inside the task: your prep notes before the call, your session notes after, and subtasks for the action items that came out of the conversation. When you show up to the next session, everything you need is in one place.
Program and Launch Management
For each group program or course, create two separate projects - one for the launch and one for the delivery. Your launch project runs from pre-launch through cart close. Your delivery project runs for the length of the program, organized by week or module.
Keeping them separate matters because they operate on different timelines and have completely different task types. And when you duplicate both projects for the next cohort, the whole framework carries over. You're not starting from scratch.
