Asana Tutorial for Virtual Assistants (2026): Lead Tracking + Client Management

If you're a virtual assistant managing your own business alongside your clients' work, a general Asana tutorial probably isn't going to cut it. You need a setup that accounts for both sides - your VA business and the work you do inside your clients' accounts.

I was a VA and used Asana the whole time. This tutorial is built from that experience.

How to Structure Your Asana Workspace as a VA

The first thing to understand is how Asana is organized. You have a workspace at the top level, then teams inside that, then projects inside your teams. Tasks live inside projects.

For a VA, start with two teams: one for your own business (call it My Business or your business name) and one called Clients. Your business admin and lead tracking live in the first team. Each client gets their own project inside the second.

Keeping these separate means when you're in client mode, you're only looking at their work. When you're in your own business, you're not tripping over client tasks.

Building a Lead and Inquiry Tracker in Asana

Inside your My Business team, create a project called Leads & Inquiries. When Asana asks for a layout, choose Board view.

Board view gives you columns you can move leads through. Set up columns for each stage of your pipeline: Applied or Reached Out, Inquiry Received, Proposal Sent, Onboarding, and Closed or Not a Fit.

Each lead becomes a task card. Inside the task you can store the date of first contact, a link to their site or the job posting, their budget, services they're looking for, and notes from your discovery call. When something changes, drag the card to the next column.

This replaces inbox-hunting and spreadsheet-scrolling with a single view that shows you exactly where every lead stands.

Setting Up Client Management in Asana

Over in your Clients team, create a new project for each active client. Use List view here. Inside each project, set up four sections:

Important Info - one task that holds everything about this client: rate, start date, login info, links to important documents. Put it all in the task description.

Onboarding - a checklist of everything that happens when a new client starts. Contract sent, payment confirmed, welcome packet sent, kickoff call scheduled.

Ongoing Work - recurring tasks for the work you do every week or month for this client. Set them to repeat so they automatically reappear after you complete them.

Offboarding - tasks for when a client wraps up. Final invoice, final asset delivery, access removal.

Switching Between Your Account and Your Clients' Asana Accounts

As a VA you'll often be added as a guest to your clients' Asana workspaces. You can switch between your account and theirs using the dropdown where your profile image appears in the top left. Each workspace shows up separately so you can flip between them without logging in and out.
